Job Overview




Front Office Management:

– Management of the Front Desk Operations and attending Incoming and Outgoing Calls End to End process

Bill Processing & Purchase Order/ Request:

– Processing Bills & Preparing monthly provisions for all bills for the responsible processes

Courier:

– To receive and sort incoming and outgoing mail / shipments & ensure timely distribution of couriers & provide MIS on the couriers count

Issuance and Maintenance of Extension List:

– Maintain the extension issuing data employee wise & Ensure the extension is provided as per the TAT

Newspaper & Periodicals:

Maintain daily record of newspaper & magazines received in excel sheet.

Travel Desk Management:

– Execute all Domestic & International Air Ticket booking with comparison for best available rates

– Adhere to requests for car booking & hotel bookings

– Prepare MIS report on monthly basis of all the travel requests executed

– Prepare work orders for all travel bookings

Prepare visa covering letters as per the requirement

Uniform Management:

Procure accessories as per the policy and ensure timely supply of the same & maintain uniform issuance data

Coordinate with the vendor and departments for smooth transition of the service Ensure the delivery of the uniforms in the required TAT & Coordinate with NGO’s for donating the used uniforms

Telecommunication:

Checking of all the bills received from Telecom vendors and updating the payment tacker and maintaining a proper excel record for all the telecom vendors

– Analyzing the bill amounts as per eligibility and preparing a deduction list sent to payroll.

Making sure that bills get processed before the due date.

Printing & Stationary:

Issuing of ID Card, Business & Master cards, Letterheads etc. as per the requisition raised.

Ensuring proof reading to deliver accurate information and process the request within the required TAT

Drivers OT Processing:

– Collate the drivers OT data & Calculate OT, driver allowance & working on OFF days.

– Ensure timely processing of the OT sheet with approvals

Coordinate with payroll for execution of the payment as per the TAT
